Privacy Policy

Hifumi Law (“Hifumi”, “we” or “us”) hereby announces the following privacy policy in accordance with the Act on the Protection of Personal Information (the “ Act”). We will comply with this policy in addition to the Act as well as other relevant laws and regulations.

Acquisition of Personal Information

We will only acquire personal information by legitimate means.

Purpose of Use of personal information

We use personal information for the following purposes. Except where permitted under the Act or any other relevant law or regulation, we will not use a principal’s personal information for any purpose outside of those listed below, without that principal’s prior consent.

  • •Notification of workshops, lectures, seminars, and other events;
  • •Sending publications, articles, other legal information, and greeting cards, such as New Year's cards;
  • •Responding to inquiries;
  • •Screening or contacting candidates for recruitment and personnel management after recruitment;
  • •Data analysis and information security management based on access records to our website; or
  • •Any other purposes incidental or related to those listed above

Provision of Personal Information to Third Parties

We will comply with the Act and all other relevant laws and regulations regarding the provision of personal information to third parties.

Security of Personal Information

We will handle all personal information in an appropriate manner and put in place proper measures to prevent the disclosure or loss of, tampering with, or damage to, any personal information in our custody, by implementing operational procedures and instructing our staff.

Requests Regarding Personal Information

If we receive from a principal whose personal information we hold a request to disclose that information, to amend, supplement or delete that information, to temporarily suspend or permanently cease the use of that information, to cease providing that information to a third party, or to inform that principal of the purpose of use of that information, then we will promptly respond to that request in good faith in accordance with the Act, after first confirming that the request is from the principal to whom the information relates.
Please note that we may not be able to respond to your request if it does not meet the requirements of the Act or if we are authorized by that law or other related legislations to refuse your request for disclosure or otherwise.
We also ask for your understanding if we charge a handling fee with respect to any request regarding the purpose of use of or disclosure of the personal information held by us.

We continuously strive to improve our policies and procedures for the handling of personal information, and as a result this privacy policy may be amended, as required.

"Know Your Client" Procedures

Under the “Rules Concerning Client Identity Verification and Record Keeping, etc.” of the Japan Federation of Bar Associations, attorneys are obliged to verify the identity of their client when they accept certain types of new cases.
Therefore, we carry out the following procedures to verify the identity of all individual and corporate clients.

In the case of an individual:

Verification by obtaining a copy of an official document detailing the individual client’s name, address and date of birth (e.g., driver’s license, passport, pension book or alien registration card).

In the case of a corporation:

Verification by obtaining the original, or a copy, of an official document detailing the corporation’s trade name and location of the head office (or the location of the principal office) (e.g., certificate of registered matters or certificate of registered seal) as well as obtaining a business card or copy of an official document verifying the name and title of the person in charge of the matter for the client.
